Here’s a fun way to think about the job of a moderator: A speaker gives a presentation. A moderator delivers a “presence-tation.”

What is “Presence-tation”?

It’s a made-up word for a very real skill:

Presence-tation (noun):
The quality or skill of a moderator to establish and maintain an attentive, supportive presence that fosters a productive, comfortable, and engaging environment for speakers, panelists, and audience members at a conference or similar event.

A person who has been deeply exploring this skill is Maciej Kautz, a bilingual (English and Polish) moderator and event strategist who has collaborated with clients such as the United Nations Global Compact Network, Project Management Institute, Kellogg’s, Crédit Agricole, MetLife, Novo Nordisk, and others.

Maciej has a background in television and radio. As a radio host, he conducted hundreds of one-hour interviews for an English-language program on Polish National Radio. Through this experience, Maciej learned the value of thorough research and note-taking about his interviewees—and then the importance of not relying on those notes during the interview. Instead, he would keep the information in mind but focus entirely on being present in the moment with his guest.

This philosophy has become central to Maciej’s approach to moderating. When preparing for panel discussions, he organizes online meetings with panelists to get to know them, understand their key messages, and build rapport—not just one meeting, but multiple interactions. He follows up with emails summarizing their conversations to ensure they feel supported and heard.

Why does he do this?

Because when someone who is about to step on stage feels seen and listened to, they relax. And when people relax, they become less anxious. Reduced anxiety leads to better presence in the moment, which benefits everyone involved—speakers, panelists, and the audience.

Maciej’s thorough preparation also enables him to connect effortlessly with attendees. Knowing all the details and understanding the event’s nuances allows him to focus entirely on the people in the room, fostering genuine engagement and making everyone feel included.

By fostering rapport ahead of the event, Maciej establishes a connection with the panelists and speakers. So when they meet in person on event day, it’s not a conversation between strangers; it’s a dialogue between people who already share a connection. This familiarity makes panelists more relaxed, open, and present —similar to how you might feel talking to a family member rather than a stranger on a bus.

In short: Rapport builds presence.

Maciej also takes time, whenever possible, to greet panelists as they arrive at the venue, show them around, introduce them to the AV team, and familiarize them with the stage — all part of creating a stress-free environment.

“My job as a moderator is to create meaningful connections,” Maciej explained during this interview.
